Privacy policy

What personal information we collect when you enquire or subscribe, why, and what we do with it.

This policy explains what personal information Inderprastha Dental College & Hospital (“we”, “the College”) collects from people who enquire about admission, dental treatment or employment, or who subscribe to our newsletter or journal, why we collect it, and what we do with it. It covers our website at ipdentalcollege.com and the enquiry forms we run through Google Ads.

Who we are

Inderprastha Dental College & Hospital is operated by the Kunj Behari Lal Charitable Trust, at 46/1, Site IV, Sahibabad Industrial Area, Ghaziabad, Uttar Pradesh 201010, India. We are the data fiduciary responsible for the information described here.

What we collect

When you send an enquiry — on our website, or through a form shown inside a Google ad — we collect:

  • Your name
  • Your mobile number
  • Your email address
  • The course you are interested in, or what your enquiry is about
  • Anything else you choose to tell us in your message, such as your NEET score or the treatment you need

With a website enquiry we also record the page you sent it from and, if you reached our website through one of our ads or campaign links, the campaign details in that link (such as the campaign name and Google click identifier). These details are kept in your browser for up to 90 days so that we can tell which campaigns lead to genuine enquiries.

If you contact us by phone or WhatsApp, we keep a record of your number and what you asked about, so that our team can follow up.

Why we collect it

Only to respond to your enquiry. For admission enquiries that means calling or messaging you with fee details, seat availability, eligibility and the admission process, and following up during the counselling period. For patient and job enquiries it means answering your question. We do not use these details for anything else.

Forms shown inside Google ads

Some of our ads include a form you can fill in without leaving Google. When you submit one, Google passes your details to us. Google's own handling of that data is governed by the Google Privacy Policy. Once we receive your details, this policy applies.

Fields in those forms may be pre-filled from your Google account. You can edit them before submitting, and nothing is sent to us until you press submit.

Newsletter and journal subscriptions

If you subscribe to IP Dental Insights (our newsletter) or the Journal of Advances in Oral Health, we collect your email address, your name if you give it, and which publications you chose.

We use these details only to email you the latest issue when you confirm your subscription, and then each new issue when it is released, with links to read it and to the archives. Subscribers are not sent admission or other promotional messages.

Your subscription starts only after you click the link in the confirmation email we send you. Every email has an unsubscribe link; once you use it, you receive no further issues. You can also ask us to delete your details — see “Your rights” below.

Subscriptions are managed through Brevo, an email service based in France, which stores subscriber details and sends the emails on our behalf. Brevo records when you confirmed your subscription and may record whether emails are opened, so that delivery problems can be spotted. The sign-up form is protected from abuse by Cloudflare.

Who we share it with

We do not sell your information, and we do not share it with other colleges, consultants, coaching centres or agents.

Your details are seen only by:

  • Our admission office and hospital staff, who contact you
  • Google, as the operator of the ad platform the enquiry came through
  • Brevo, which stores newsletter and journal subscriber details and sends those emails
  • Our website hosting, email and form-delivery providers (website enquiries are delivered to our inbox by FormSubmit), in the ordinary course of running those services

We may disclose information where the law requires it, or where a regulatory authority directs us to.

How long we keep it

We retain enquiry details for up to 12 months from your last contact with us, after which they are deleted. If you enrol, your records are kept as part of your student file under the applicable education regulations.

Newsletter and journal subscription details are kept until you unsubscribe or ask us to delete them.

Cookies and measurement

Our website uses Google Ads conversion tracking to understand which ads lead to genuine enquiries. When you send an admission enquiry, your email address and mobile number are converted in your browser into a one-way code (a SHA-256 hash) before being shared with Google, so Google can match the enquiry to an ad you clicked. Google does not receive them in readable form, and we receive nothing back beyond a count of enquiries per ad. You can control ad personalisation through Google My Ad Center, and cookies and site data through your browser settings.

The same Google tag also loads Google Analytics, which tells us how many people visit, which pages they read and how they arrived — for example from a search, an ad or a link someone shared. Google Analytics does set cookies in your browser: small files that let it tell one visit from another and recognise a return visit. We look at totals rather than individuals. You can clear or block these cookies in your browser settings, or install Google's opt-out add-on to stop Google Analytics on every website.

Alongside it we use Cloudflare Web Analytics to count visits and see which pages are read and how quickly they load. It sets no cookies, does not follow you between websites, and does not identify you — we see totals, not people.

If you are under 18

Many BDS applicants are 17 or 18. If you are under 18, please involve a parent or guardian before sending us your details. We will speak to a parent or guardian on request, and we will delete a minor's details promptly if a parent or guardian asks us to.

Your rights

Under the Digital Personal Data Protection Act, 2023, you may ask us to:

  • Tell you what information we hold about you
  • Correct anything that is wrong or out of date
  • Delete your details
  • Stop contacting you

Email us at the address below and we will act on your request within a reasonable period, normally 30 days. There is no charge. Asking us to stop contacting you will not affect any application you have already made.

How your details are protected

Enquiry details are accessible only to staff who need them, and our website is served over an encrypted connection. No system is perfectly secure, but we take reasonable measures to prevent unauthorised access, loss or misuse.

Changes to this policy

If we change how we handle enquiry information, we will update this page and change the date at the top. Please check back if it matters to you.
